Appologies for the lengthy post but...this suggestion has been raised & agreed upon many times by salon and clinic owners, and with increasing levels of rescheduling, it feels more relevant than ever. We recently had a client reschedule the same appointment five times over 8 weeks. When she attempted to reschedule for a sixth time, we explained that continued changes may result in the loss of her deposit. She agreed to keep the appointment, but then simply went online and rescheduled it herself. While occasional rescheduling is understandable, serial rescheduling can have a significant impact on staffing, revenue forecasting and appointment availability for other clients. Could Phorest introduce tools to help salons manage serial reschedulers, such as: • Allowing salons to set a maximum number of online reschedules (e.g. 2 or 3). • Displaying a message to the client once that limit is reached, advising them to contact the salon directly to make further changes and that deposit conditions may apply. • Creating an alert on the client record or appointment so reception/front desk are notified that the client has reached the salon's rescheduling limit. This isn't about penalising genuine circumstances. It's about creating accountability, encouraging communication and helping salons protect valuable appointment time that has already been rostered and allocated.
