Desktop Client Card

It would be helpful to have the possibility to send two SMS or Email reminders to clients for different amounts of time. Example: send an SMS/email reminder 72 hours prior to an appointment and then anther SMS/email reminder 24 hours prior to the same appointment.

When I go to a client file I like to see and know everything about that client. For example if a client has left a review I wold like it to be seen in their client file without having to go through marketing and reviews. If this was actioned it would mean if someone calls to make an appointment with us our staff can say " I can see you left a review Iast month - thank you" or let's say they have left a bad review or weren't happy I can say "I see you left a review and weren't happy with X and we would like to work with you and resolve that on your next visit". Basically we would prefer a whole client picture not part of it. Rebecca

Clients are complaining that when we cancel their appointments they don't get a confirmation of that and leave them having to call and confirm again with us

Access the "sales transaction" or "past invoices" through their Client Card. You can see their previous purchases, but it would be great to click on the purchase and have it take you to the sales transaction. Currently, in order to get into a past sale, you have to find it through the 'Sales' screen. This would just help take out a step when investigating past sales :)

Sometimes a client may need to cancel all future appointments would be much easier to also to be able to cancel in service history have an x to cancel rather than have to find every appointment in diary

I really wish Phorest had where if we get a new client that we could know if this person was banned from another salon. Either because they skipped out on payment, difficult and a poorly rated client. Even if there was a client shared rating on them. When we get difficult and bad clients, it would be great if we could share it with others, and why, or just a rating on them.

It would be incredibly helpful to have documented proof with every booking that the client has received, understood, and agreed to our booking policies. Similar to the option we now have to send a payment link for a deposit, is there a way to send a digital form at the time of booking for clients to acknowledge and agree to our cancellation and no-show policies? This already exists for online booking, which makes those situations much more clear and protected. Our concern is with appointments booked over the phone, where it can become our word against the client’s word if they later dispute a no-show charge. Having a signed digital acknowledgment would help create clear documentation that the client was made aware of and agreed to the consequences of missing their scheduled appointment before reserving time on our books. We are running into situations where clients no-show and then claim the charge is fraudulent, even though the appointment was scheduled and our policy applies. Having this additional layer of verification would help protect the salon and make our case much more airtight in the event of a dispute.

Right now, Phorest has too many separate places for notes, such as appointment notes and client card notes. This creates extra clicking and makes it easy to miss important information. I’d love to see notes centralized on the main client card with clear tabs, such as: Client Notes | Formula | ALLERGIES | Appointment Notes It would also be very helpful if notes could be formally “submitted” so each entry automatically saves the date, time, and staff member who added it. This would create a clearer history and improve accountability. Additionally, if a client has an allergy listed, that allergy should be clearly flagged on the appointment screen so staff can see it before or during the service without having to click into multiple areas.
