It would be incredibly helpful to have documented proof with every booking that the client has received, understood, and agreed to our booking policies.
Similar to the option we now have to send a payment link for a deposit, is there a way to send a digital form at the time of booking for clients to acknowledge and agree to our cancellation and no-show policies?
This already exists for online booking, which makes those situations much more clear and protected. Our concern is with appointments booked over the phone, where it can become our word against the client’s word if they later dispute a no-show charge.
Having a signed digital acknowledgment would help create clear documentation that the client was made aware of and agreed to the consequences of missing their scheduled appointment before reserving time on our books.
We are running into situations where clients no-show and then claim the charge is fraudulent, even though the appointment was scheduled and our policy applies. Having this additional layer of verification would help protect the salon and make our case much more airtight in the event of a dispute.
